Cannot import Spreadsheet into sharepoint as a list - Sharepoint 2010/2007

I had one user who was not able to Import an excel spreadheet into Sharepoint as a list .

Was getting an Error -

You are not authorized to view this page.  
You might not have permissions to view this directory or page using the credentials you supplied.
HTTP Error 403 - Forbidden


User is a site collection administrator .

We got the file at our end and checked it worked fine .

we also checked with the proxy settings but even after changing it to the same as we had it did not work .

asked the user to check from a different machine with his login it worked fine

as it was realted to excel tried checking on Microsoft office Diagnostics available in Office 2007 .

and to my amaze it worked . we were able to import the spreadsheet without any issues .

Where is Microsoft office Diagnostics ?

Start =>  all programs => Microsoft Office => Microsoft Office tools => Microsoft Office Diagnostics

If at all we have office 2010 . we may have to run the Repair available under control panel .

You know how to create lists. But perhaps you need some shortcuts to help you work faster, and more effectively. This short course will do just that: give you tips and tricks for SharePoint 2010 lists.

IE crashes when opening Datasheet view on sharepoint

There is no one Solution to this issue . I have found that it may happen due to various reasons .

"The list is displayed in Standard view. It cannot be displayed in Datasheet view for one or more of the following reasons: A datasheet component compatible with Windows SharePoint Services is not installed, your browser does not support ActiveX controls, or support for ActiveX controls is disabled"

Resolution :

* Try clearing the IE cache .it may workout to be the best and quick solution 

* Try Doing a Repair of Office . or reinstall

* Windows SharePoint Service Support options for Microsoft Office should be installed (applicable for Office 2003 as well as for Office 2007)

How to enable this option:

-Start-Control Panel-Add or Remove Programs-click on Microsoft Office and then Change
-Add/Remove Features
-Expand the Office Tools category.
-Next verify that you have both the Microsoft Office Access Web Datasheet Component and the Windows SharePoint Services Support component installed.
-If these components are not installed choose to run them from your computer and then click the Continue button and go through the installation process. You may need your Office 2007 install media.


* Check if ActiveX controls are active in Internet Explorer.
To do this open IE and go to the Tools menu > Internet options

* Select "Enable" for Script ActiveX controls marked safe for scripting.

* Adjust these settings accordingly and then click OK twice to return to Internet Explorer.

If you are running Internet Explorer 9 (32 and 64-bit are installed at the same time) use the 32-bit version. SharePoint doesn’t like using datasheet view if you are running IE9 on a machine with Office 64 installed so I will recommend installing Microsoft Office Access Database Engine 2007 (haven’t tried 2010) found here:

Time card list template in SharePoint 2010

Time card list template is available in SharePoint 2010 .But it is hidden by default .

You need to activate the Group Work Lists feature of the site .

Choose Site Settings =>Manage site features =>Activate Group Work Lists feature. After activating this feature ,you can create a Time Card list in SharePoint Designer :

    Open the site in SharePoint Designer .
    
Choose File => Add Item => More Lists =>Time Card .
  
  The Time Card list will be created with a default view called My Time Card .This is the MyTCard.aspx page .You can edit it in SharePoint Designer or in browser .

Instructions for trying out the Timecard Management Template solution:
Download and build the solution
  1. Insure you have your SharePoint 2010 Development environment setup.
  2. Download the Visual Studio solution and unzip it.
  3. Specify the URL to the SharePoint site you would like to debug with in the project properties.
  4. Click build to the Visual Studio solution.
Install and activate the sandbox solution
  1. From a page in the site collection, click Site Actions, and then select Site Settings.
  2. On the Site Settings page, click Solutions under the Galleries heading.
  3. On the Solutions tab of the Server ribbon, click Upload Solution.
  4. In the Upload Solution dialog box, click Browse, and browse to the sandboxed solution package (.wsp file). Click Open.
  5. The solution package is now in the site collection's solution gallery, but it is not yet deployed.
  6. In the Activate Solution dialog box, click Activate to activate the solution.
To deactivate and delete the sandbox solution
  1. From a page in the site collection, click Site Actions, and then select Site Settings.
  2. On the Site Settings page, click Solutions under the Galleries heading.
  3. Select the solution to deactivate and then select Deactivate.
  4. If you would like to Delete the solution then, click Delete after deactivation.

How to overwrite or disable the List View Threshold value for particular list in Sharepoint 2010 Using Powershell?


If you want to overwrite or disable the threshold limit of List View items for particular list then execute the following cmdlets in Powershell.

$WebApplication = Get-SPWeb http://<SiteCollectionName>

$List = $WebApplication.Lists["List Name"]

$List.EnableThrottling = $false

$List.Update()


There is one property of SPList called "Enable Throttling" which has to be set to false to overwrite the threshold limit set on Web Application for all the lists.

Auto incrementing number ID in a List

Today one of my user wanted a Auto incrementing number/ ID in a list .

We have a Out of box ID which keeps on incrementing in a list .
Out of box the column is not added in the view . we have to add it by going to the Modify this view .
Check the box for ID and get it to the top by changing the number in front of it to 1.

there are limitations to this ID .

The ID keeps incrementing if you delete any item the ID doesnt start from 1 .

its just keeps incrementing . you cannot reset the ID .

You cannot rename the column ID.

to reset the ID you need to create a new list and copy/move over the contents to the new list .

Unable to “Edit series” for an event in calendar list

ISSUE:   Unable to “Edit series” for an event in calendar list

DESCRIPTION: 

 There is a repeating event (event series) in sharepoint calendar list with “All day event” selected and no specific start and end time. When someone open an event and then clicks on "Edit series", it opens up the series in edit mode. But after making any type of changes, page can’t be saved and clicking “Ok” returns to same edit page reflecting some validation errors which doesn't allow us to commit the changes.

 WORAROUND/SOLUTION:

Solution for this problem issue is simple . Whether we make changes to the series or not, we must uncheck the box for “All day event” and then select the check box again.

Duplicate items appear when viewing items in Datasheet view

ISSUE:

Duplicate items appear when viewing items in Datasheet view in SharePoint. This also happens when using the Export to Spreadsheet (Excel). If duplicate entries appear in Datasheet view, they will also appear during Export to Spreadsheet and vice versa.

DESCRIPTION:

 The list has got versioning switched off, and views fine in standard list view. However, when you switch to either datasheet view or Export the file to Excel it shows the same rows three times in as sequence.

Resolution:

The affected lists have a Required lookup field which allows multiple values. If you have a view that does not include this field and it is either a datasheet or you "Switch to Datasheet" then datasheet shows duplicate items depending on how many multi-values are selected.

Our work-around was to create a specific Datasheet view with the field included. The multi-value field does not show in datasheet, because multi-value lookup fields don't seem to work in datasheet. However, it's important to include the field in the view to avoid duplicates. Unfortunately, if you have a view that does not include the field and then "Switch to Datasheet" you will encounter the same problem.

The duplicates appear also when you try to Export to Excel. If you have a view that would be affected by the "Switch to Datasheet" duplicate problem, when you try to Export to Excel, it will also appear.

Note : Please check with the Admin of the list before you uncheck multiple values.

Cannot add an existing SharePoint 2007 list to a Office Access 2007 database

One of my users had this issue .

The user was trying to add an existing list to a access 2007 db . and was getting an error .

Error : You do not have the necessary permissions to use the '<ListName>' object. Have your system administrator or the person who created this object establish the appropriate permissions for you .

After we did some research i found a KB article for the same .

In this the Cause is mentioned as

This problem occurs because the Access 2007 database engine disallows columns that have names that contain more than 64 characters

To work around this problem, use only column names that contain less than 64 characters in Windows SharePoint Services lists

Microsoft has confirmed that this is a problem in the Microsoft products that are listed in the "Applies to" section

How to find out the ID of a site collection .


  1. Open the Central Administration

  2. Application Management

  3. SharePoint Site Management

  4. site collection quotas and locks

Select the appropriate site collection  and you will get the ID of that specific site collection



How to find out the ID of a subsite:

  1. Save the current site as site template[.STP extension]

  2. Save it to disk somewhere.

  3. Now, navigate to that location and rename the file to .CAB extension.

  4. Extract the CAB file and find the manifest.xml file.

  5. Now, in the file check for the site ID/TemplateID string and get the value.

  6. Navigate to end of this post for the TemplateID to Name mapping.



How to find out the List ID:

  1. Navigate to the SharePoint list using the browser.

  2. Select the Settings + List Settings menu command.

  3. Copy the URL from the browser address bar into Notepad. It will look something like:

Delete everying before and including “List=”.

Change “%7B” to “{”

Change all “%2D” to “-“

Chnage “%7D” to “}”

You are now left with the Id:

Your client does not support opening this list with Windows Explorer

we are very much familiar with this error message and know what exactly needs to be done if such issue occurs. But this issue varies if operating system changes from XP to Windows Vista.

 FYI- This is a known issue with windows vista OS and we have a Microsoft KB for this: http://support.microsoft.com/kb/841215

 Before we can go ahead and conclude on to above mentioned KB, make sure to check the following points:

 1)    Web client service should be started

2)    You can also get the error if the URL to the document library is 100 characters long

3)    If you are using Internet Explorer 6 you will get the error. You know it’s time to upgrade

 It would be a good question as What exactly this KB suggest ?

 Please refer the following info:

         Click Start

        type regedit.exe in the Start Search box

        Locate and expand the list and navigate to the following location

  • HKEY_LOCAL_MACHINE\SYSTEM\CurrentControlSet\Services\WebClient\Parameter

        Locate the value BasicAuthLevel

  • Right click the value and choose Modify.

  • In the Value data box, type 2, and then click OK.

        Exit Registry Editor, and then restart the computer.

 Note: We will not do any kind of changes inside the registry so this should be done with the help of Desktop Support Team

 If it’s a Windows Server 2008 OS then please check the following:

        Open up the Windows Server Manager.

        Click Features in the left hand menu

        Click Add Features, in the main window.

        Select the Desktop Experience feature, and then click Next.

        Click Install.

        Click Close when the Add Features wizard is done.

        Choose to reboot when done.

 If it’s a Windows Server 2003 OS then please check the following:

 Download and install the Microsoft Hotfix

Windows Office needs a Web Client update to work properly with WebDAV.

Moving List Items from one list to another list in SharePoint 2010

If we want to move the list items from one list to another  Here is the simple way

1.Lets be on the existing list, click List tab on the ribbon bar and click List Settings icon.

2.Click “Save list as template” link that exists under Permission and Management section which will bring up another page where you need to provide template File Name, Template name and Template Description. Make sure you didn’t check “Include Content” checkbox. Then, click the OK button.
This step is to move the structure of the list to another .Surely there are other ways to do so like creating a list and then opening the list in access view and then copying the columns . but I am trying to make it simple

3.Go to Site Actions => More options => Click List under Filter By section. You can see the template which has been created in the previous step as part of other templates on the right pane. Choose the template and provide list name.

4.If there are any workflows associated with the existing list that may still persist on the newly created destination list.
Usually when lists are saved as template, all workflows associated to the original list will be saved as part of template except currently running workflows.
Make sure all workflows associated with the original list have been removed if it’s not required. To remove workflows associated to list, go to List Settings Click on Workflow Settings Click “Remove a workflow” link, choose Remove option and click OK button.

5.Open the New List,
Go to Site Actions => Manage Content and Structure, choose the Original List on the left pane.

6.You can increase the currently showing items up to 1000
 sort list items by clicking column header and choose all items by clicking Select All option (displyaed top-left corner on the header) or individual items can be selected by clicking the checkbox displayed on each individual item.

7.Click “Actions” =>  Move Or copy and choose the target list the newly created list
I would suggest you Copy the items instead of moving which is always safe and then delete the list after checking if everything is working fine on the new list.

8.Finally click the OK button and wait until the list items are moved or copied to destination list.
You can redo the above steps till all the items are copied or moved to the new list
 You need to be a site collection admin or should have full control on both the root site and the destination site .

Cannot delete a Corrupted lookup Column from the list

Issue : Just Today i came accross a issue in Which the User had a List with many columns and One of the column Which was a look up column was corrupted

used to give a error "Unknown Error"

We were not able to Delete or edit the column

After a lot of research we found a work around to delete the Column

Checked the Url and found the below

Which is a wrong url it should be

/_layouts/FldEdit.aspx?List=%7B37920121%2D19B2%2D4C77%2D92FF%2D8B3E07853114%7D&Field=Product%5Fx0020%5FDescription

Just remove ex from FldEditex.aspx => FldEdit.aspx

And you will be able to get to the inside of the column where you can edit or Delete the column .

How to delete a corrupt column in the sharepoint list - Sharepoint 2007


Today I came across an issue where in I was not able to delete a corrupted lookup column from a list . after doing some research i found a good site with the resolution . source site mentioned at the end of the post. 

Please save the List as template or take the backup of the site Before you make any changes.

 Create an asp.net page with the code at the bottom of this post and put it in your layouts directory. By default, this is "C:\Program Files\Common Files\Microsoft Shared\web server extensions\12\TEMPLATE\LAYOUTS".

Then, browse the page by going to http://[your_sharepoint_domain]/sitename/_layouts/[whatever_you_called_the_page].aspx

Find the column and remove it.

Updating SharePoint list by using InfoPath form

Step 1: Create the list


1. Create a new custom list named: MyContacts
2. From the Settings button choose List Settings
3. Click Create Column
4. Add the following columns/data types:
• FirstName, Single line of text
• LastName, Single line of text
• Email, Single line of text
• Phone, Single line of text


The next step is to create a Collaborative Application Markup Language (CAML) template that contains the same XML nodes as the columns we added to our list – this will be used as a secondary data connection in the InfoPath Form Template.


Step 2: Create the CAML template


1. Launch Notepad (or any text editor)
2. Copy and paste the following code to the Notepad document:

Step 3: Create the InfoPath Form Template


1. Create a new, blank, browser-compatible form template
2. Add a “Receive” type secondary data connection to the Add List Item Template.xml file created in Step #2. (Make sure the options “Include the data as a resource file in the form template” and “Automatically retrieve data when the form is opened” are enabled.)
3. Add a “Receive” type secondary data connection to the “MyContacts” SharePoint List created in Step #1 and make sure the option “Automatically retrieve data when the form is opened” is enabled.
NOTE: Be sure to include the “Title” field along with the custom fields we created.
Each SharePoint list is created with a unique identifier called a GUID. In order to submit items to a SharePoint list, you must know the unique GUID for that list. These next steps will enable you to identify the GUID for your “MyContacts” list.


Step 4: Identify the list GUID


1. Open a browser and navigate to the MyContacts list
2. From the Settings menu choose List Settings
3. In the browser’s address bar you will see the URL appended with “List=”

 
4. Copy everything after the equals sign and paste this into a text editor as we will need this value later on.
NOTE: We will need the list GUID to be formatted as “{xxxxxxxx-xxxx-xxxx-xxxx-xxxxxxxxxxxx}”. If your GUID appears as above with the hyphens and braces “escaped” (i.e. %7B for the braces and %2D for the hyphens) then you will need to replace the escaped characters with the braces and hyphens so when we use this GUID later, it will appear as: {0D73FBB5-88E1-4435-B607-51ADC5DA6D58}


Step 5: Add controls to the InfoPath Form Template


1. Open the Data Source Task Pane
2. From the Data Source dropdown box choose the “MyContacts” connection


3. Right-click on “MyContacts” and choose Repeating Table – this will add a repeating table bound to that connection to your View
4. From the Data Source dropdown box choose Main
5. Add a text box to the “myFields” node named: ListName and set the Default Value property to the GUID value of your list – we will use this node to specify the list when we perform the Submit operation



To update the SharePoint list we will be using the “UpdateListItems” method of the SharePoint “lists.asmx” web service. This web method requires a couple of parameters (the list name and what gets updated) – now that we have added the “ListName” node which contains the GUID and we have the Add List Item Template XML data connection which describes our data structure we have all the necessary information to add the “UpdateListItems” web method!


Step 6: Add the “lists.asmx” web service


1. Add a new “Submit” type of web service data connection to the “lists.asmx” web service – this is typically located at: http://servername/_vti_bin/lists.asmx
2. Select the “UpdateListItems” operation
3. Double-click the “listname” parameter and assign the “my:ListName” node as the value


4. Double-click the “updates” parameter, select the “Add list Item Parameter” data source, select “Batch” and click OK
5. For the “Include” option select “XML subtree, including selected element”


6. Complete the Data Connection Wizard
Now that we have all the connections that are required, we now need to add the “submit” functionality to the form template.


Step 7: Add Submit functionality


1. Display the Data Source Task Pane
2. From the Data Source dropdown box choose the Add List Item Template data connection
3. Drill down through the data source, right-click on the Field node and choose Repeating Table


We need to change the text box control in the “Name” column to Read-only – if these values were to be changed it would affect the CAML and the submit would fail.
• Double-click on the text box in the Name column of the Repeating Table
• Select the Display tab
• Enable the Read-only property and click OK
• Add a new Button control to the View
• Double-click the button to display the Properties
• Click the Submit Options button
• Enable the option “Allow users to submit this form”
• Enable the option “Perform custom action using Rules” and click the Rules button
• Click the Add button
• Click the Add Action button
• From the Action dropdown box choose “Submit using a data connection”, select the “Web Service Submit” data connection and click OK
• Click the Add Action button
• From the Action dropdown box choose “Query using a data connection”, select the “MyContacts” data connection and click OK (this will automatically refresh the list in InfoPath so you can see the newly added record)


• Click OK until you are back to your form
NOTE: If you want to automatically clear out the submitted values, add another action to this Rule to “Set a field’s value” and the only option you need to specify is the “Field” option – select the “Field” node from the “Add List Item Template” data connection and then simply leave the Value option blank.


Step 8: Test


1. Click the Preview button to preview the form
2. Fill in values for each of the fields: Title, First Name, Last Name, E-mail and Phone


3. Click the Submit button – the contact information should be submitted successfully and the “MyContacts” list automatically updated
